22-473 Materials Required in Alternative Formats Based on Member Request

IPAs must ensure member notification materials accommodate the communication needs of members with visual impairments or other disabilities
Independent practice associations (IPAs) must accommodate the needs of qualified California Health & Wellness Plan (CHWP) members with disabilities who request member materials and information in an alternative format. These alternative formats may include:
- Braille.
- Audio format.
- Large print (no smaller than 20-point Arial font).
- Accessible electronic format, such as CD.
- Other auxiliary aides and services.1
Find members’ alternative format selections in the Eligibility Report
The Eligibility Report will inform IPAs if a member needs materials in an alternative format. This is the same report that informs IPAs of members’ language preferences.
The electronic format selected may need to be encrypted with password protection.
Request alternative formats for select materials through Akorbi
IPAs are responsible for providing member materials and information for qualified members with disabilities in an alternative format.
CHWP will cover the costs for alternative format materials when the below criteria are met:
- Must be for CHWP Medi-Cal Notice of Action letters.
- Must use the preferred alternative format vendor, Akorbi. For steps on submitting materials to Akorbi for an alternative format, please refer to the Notice of Action Letter Translations and Alternate Formats: Akorbi Plunet Portal Guide, under Provider Resources > Provider Education, Training and Other Materials.
Please note that as part of annual audit requirements, you may be asked to provide a log of all Medi‐Cal alternative format requests.

Additional information about alternative format materials will be communicated to IPAs as it becomes available.
